How to set-up a Team Project

Share CHAMELAION video translation projects securely with your team, assign viewer, editor or admin roles and manage who can work on each translated video.

Before you start, add people to your team

You can only share projects with users who are already on your team.

  1. Click your profile icon in the top right and go to Settings.

  2. Click on Team Management.

  3. Invite a teammate by entering their email and clicking the plus button.

    • They receive an email invite. If they already use CHAMELAION, they also get a notification under the bell Icon 🔔 on the platform.

  4. If you see a seat limit message, either upgrade your plan or remove existing members from the list to free up space.

  5. Once they accept, they appear in your team list. Removing them later from Team Management instantly revokes access to all projects you had shared with them🔴.

Option A: Create a new Team Project.

  1. Go to Projects → My Projects, click New Project.

  2. Under General information, give the project a name, add an optional description, and continue.

  3. Step 2: Access & Rights, pick teammates to share with. Choose a role per user, then continue.

  4. Final Step: Adding files, optionally attach loose files, then click Create.

Projects you create always stay in My Projects for you, even when shared. For invitees, the project appears under Shared Projects.

Option B: Share an existing project.

  1. Go to Projects → My Projects.

  2. On the project card, open the three dots menu and select Edit Project.

  3. Under "Which users should have access", add or remove teammates, set their role, then hit Save changes 👍.

Roles and access controls

  • The viewer can open the project and review files, but can’t edit, delete or download anything👀.

  • Editor: Can view and edit files of the project, but can’t download or delete anything.

  • Admin: Can view, edit, delete and download any files of the project.

  • Access toggle, flipping it off removes that person’s access immediately, regardless of role. You can change roles and access at any time🔛.

People you add to a project get an email and an in-app notification under the Bell icon🔔.

Where everyone finds the project

  • Owner: The project is listed under My Projects.

  • Invited teammates: The same project shows up under Shared Projects for them.

Remove a teammate later.

  • In Edit Project, turn off the Access toggle or remove the user from the list to stop access to that project.

  • From Settings → Team Management, click Remove next to a user to revoke access to all projects you had shared with them.

Quick FAQ

  • Can I change who can edit later? Yes, use Edit Project → Rights to switch Viewer or Editor/Admin.

  • They did not get the email. What now? Ask them to check the in-app bell and spam folder, then resend the invite.

  • Will sharing move my project to Shared Projects for me? No, it stays in My Projects for the owner. Only invitees see it in Shared Projects.
